1. Who we are

Arkive is the data controller for personal data processed in connection with the Arkive vault and marketplace service. You can reach us at legal@arkivevault.com.

2. What data we process

  • Account information: name, email, password (hashed), preferred language and currency.
  • Contact and shipping details: postal address, country, optional phone number.
  • Stored card information: card metadata, declared values, photos taken during intake (custody photos) and selected catalog references.

    Custody photos are taken to document the condition and identity of submitted cards. These photos may be retained for operational, security, dispute-resolution and audit purposes.

  • Transaction history: submissions, listings, offers, internal and external sales, withdrawals, payouts.
  • Wallet and financial data: wallet balances, transaction history, payout requests, payment references, bank account details that you provide, and records required for accounting and fraud prevention.
  • Identity verification information: where required, identity documents, proof of address, ownership verification, fraud-prevention records and communication related to compliance checks.
  • Marketplace activity: listings, offers and messages sent through the platform.
  • Technical data: session cookies, IP address, user agent, basic log data needed to operate the service securely.
  • Compliance data: records of Terms acceptance, including version and timestamp.

3. Why we process your data

  • To provide and operate the Arkive service (performance of contract).
  • To process transactions, payouts and shipping (performance of contract).
  • To prevent fraud, abuse and unlawful use (legitimate interest, legal obligation).
  • To comply with bookkeeping, tax and anti-money-laundering law (legal obligation).
  • To verify identity, ownership of submitted property, prevent fraud and comply with legal obligations.
  • To send service-related messages such as receipts and account notifications (performance of contract).

4. Sharing

  • We do not sell your personal data to third parties.
  • We share data with service providers strictly to operate Arkive (e.g. hosting, payment processing, email delivery). They are bound by data-processing agreements.
  • We may share data with authorities where required by law or court order.
  • For external sales, the buyer-facing marketplace will receive the information needed to ship and complete the order.

5. Where your data is stored

Customer data is processed within the EU/EEA. If a sub-processor processes data outside the EU/EEA, we use appropriate transfer mechanisms (e.g. EU Standard Contractual Clauses).

6. Retention

We retain personal data for as long as your account exists and for as long as required to comply with legal obligations (for accounting records, typically seven years under Swedish law). Marketing data, where applicable, is retained until you object.

7. Your rights

  • Access a copy of your personal data.
  • Correct inaccurate data.
  • Request erasure of personal data where applicable. Arkive may retain information where required for ongoing storage services, completed transactions, dispute resolution, fraud prevention, accounting and legal obligations. Deletion requests may therefore not result in immediate or complete deletion of all records.
  • Object to or restrict certain processing.
  • Request portability of data you provided.
  • Lodge a complaint with the Swedish Authority for Privacy Protection (Integritetsskyddsmyndigheten, IMY).

8. Marketplace visibility

When you choose to list a card for sale, certain information may become visible to other users, including card details, card photos, asking price, grading information and marketplace history where applicable.

Personal contact information is not publicly displayed through Arkive.

9. Security

Arkive uses reasonable technical and organisational measures to protect customer information against unauthorised access, loss, misuse and disclosure.

No online service can guarantee absolute security.

10. International users

Arkive primarily targets customers in Sweden and the European Economic Area (EEA). Use of the service from other jurisdictions may be subject to additional restrictions.

11. Cookies

Arkive uses essential cookies and local storage to keep you signed in and to remember your language and currency preferences. We do not use third-party advertising cookies.

12. Changes

We may update this Privacy Policy from time to time. Material changes will be communicated to customers in advance.
